If you wish to send reminders to your Appraisees who have set an Appraisal meeting date, but they have not yet completed the sign off, please contact Support as we will need to help with this set up.
FFARMS has the option of sending two document reminders using the pre-set email templates - the first one will be sent 14 days after the appraisal meeting date and the second one will be sent 28 days after.
You can create and send emails to just to the appraisee, or to both the appraisee and appraiser separately.
How to set up the Email Templates
You can create the email templates and update the wording - the Email templates you are looking for are:
Appraisal no paperwork (first): First no documents reminder (appraisee)
Appraisal no paperwork (final): Final no documents reminder (appraisee)
Appraisal no paperwork (first): First no documents reminder (appraiser)
Appraisal no paperwork (final): Final no documents reminder (appraiser)
Details on how to edit the templates can be found here but we would recommend that we double check them for you to ensure any commands you have used are correctly set.
How to send the Email
Once you are happy with the wording in the templates, they can be sent out either manually or automatically.
Sending Reminders Manually
If you are intending to manually send the reminders, you will find both no documents reminder options showing on the Appraisee's Case once the appraisal meeting date has happened.
You can see how many days it has been since the appraisal:
Once you click send on the relevant option, you will be taken to a preview page where you can personalise the template further if you wish. When you are happy with the email just press Send email:
When you have sent the email, the option to send this notification on top of the Case page will disappear.
Sending Reminders Automatically
If you wish to send document reminders automatically, please let us know and we can apply this to your account but let us know whether you wish to send both a first and final reminder, and whether you want to send them just to the Appraisee or, to the Appraiser as well.
Once this is set up, the system will send these for you, with the first ones being sent 14 days after the appraisal meeting and the second one 28 days after.
If you need to stop an automatic email going out for any reason, you can do this by going to the Appraisee's Case where you will see the option to Stop appraisee no date reminder:
