There are a number of different Email Templates that can be used for sending reminders to Appraisees or inviting them to use FourteenFish if this is relevant to your Organisation.
We include below how you can add these, how you can edit the wording and also show you other features you can incorporate into your email.
Adding the Email Template:
Pop over to the overarching Emails section of FFARMS and click on Email templates as below:
You will see the option to Add a template:
This brings up a box asking you to Choose a template where you can select the email you want to add and edit:
Editing the Email Template:
Once you have added the template you can input the main body of the email by entering it into the Introduction box.
There are different things you can use within the template including:
- Regular text
- Text with [these thingies around them] which will act as a command and populate personal data
- Web / Email address links
- Attaching a Document (this is found at the bottom of the page rather than from within the Introduction box) Be aware though - the maximum file size you can upload is 20mb!
Other Features:
You can also personalise the template to include:
- Adding a Sign off - if you don't include one of these your message will end on the last thing you write in the Introduction box
- You can also design the template so it only goes to certain Designated Bodies (only relevant if your Organisation has multiple Designated Bodies) or to particular Staff grades (i.e. it could go to Consultants only)
- You can also set a FFARMS user in the Reply To box and they will appear as the person all the emails in that template are sent from
