If you wish to send reminders to your Appraisees who are due their appraisal soon and have not yet set an appraisal meeting date, please contact Support as we will need to help with this set up.
What we need to know
When setting up Appraisal Date reminder emails, we just need you to let us know the following:
- How many reminders would you like to send? (FFARMS has the option of sending two date reminders using the pre-set email templates)
- How many days before the appraisal month/date would you like the reminders to be sent?
- Would you like the Appraiser to be CC'd/sent the reminders?
- Would you like to manually send the emails or would you like it to be automated?
How to set up the Email Templates
Once you have let us know how many reminders you would like to send and the number of days before the appraisal due month/date, we can update your Organisation's settings.
If you would like the Appraiser to be CC'd into the emails, we can also set this up for you too.
When we have done this, we will let you know and then you can create the email templates and update the wording.
The Email templates you are looking for are:
Appraisal date reminder first (appraisee): First appraisal date reminder (appraisee)
Appraisal date reminder second (appraisee): Second appraisal date reminder (appraisee)
If you wish to send the Appraiser a second appraisal date reminder directed to them, the template you can use is:
Appraisal date reminder second (appraiser): Second appraisal date reminder (appraiser)

How to send the Email
Once you are happy with the wording in the template, we will double check this for you to ensure any commands you have used are correctly set.
Sending Reminders Manually
If you are intending to manually send the reminders, you will find the Send appraisee no date reminder email option will appear on the Appraisee's Case:
NB: This option will only appear once the number of days before the appraisal due month/date that was set on your Organisation has reached.
Once you click on this, you will be taken to a preview page where you can personalise the template further if you wish. When you are happy with the email just press Send email:
When you have sent the email, the option to send this notification on top of the Case page will disappear.
If you choose to have the second date reminder option set up, this will appear in the same way once the number of days before the due month/date has been reached.
Sending Reminders Automatically
If you wish to send automatic reminders, please let us know and we can apply this to your account.
Once this is set up, the system will send these for you based upon your date settings.
If you need to stop an automatic email going out for any reason, you can do this by going to the Appraisee's Case where you will see the option to Stop appraisee no date reminder:
