When you first start using FFARMS, you will need manually add Appraisee records for all of your users and here's how you can do this:
Adding Appraisee Records Manually:
To add a new person on FFARMS manually all you need to do is go to the Appraisees section and click on Add a new person as below:
You will first of all be asked for their GMC number as below and this just checks FFARMS to make sure you haven't already got an Appraisee with that GMC number:
As long as there isn't a record with that GMC number already existing you will be taken to the next box where the GMC number automatically populates and then you can fill out all the other relevant information about the Appraisee:
Make sure you hit Save to ensure your changes don't get lost!
Adding Appraisee Records through GMC Connect:
Once you have started using FFARMS, we can later set you up with a GMC Connect link, which will allow appraisee records to be automatically added to FFARMS as they connect to you via GMC Connect.
We will need permission from yourselves, as a Designated Body in the form of a contract, which will need to be signed and sent to GMC Connect authorising us to connect with you through them.
Once the link has been set up every evening at 9pm any new appraisees added to your Designated Body on GMC Connect will be automatically synced across to FFARMS and an Appraisee Record created for you.
This is usually basic information such as first name, surname, GMC number and Revalidation Date so it is usually good practice to check any new Appraisee records regularly.
You will definitely want to add their email address in order to make sure they receive any automatic reminders your Organisation may have set up or if you want to send them a Welcome email (click here on how to do this).
Suggested Edits:
If you have the GMC Connect link established within your Organisation settings on FFARMS you can still manually add an Appraisee record if you want to.
What might happen though is you may get Suggested Edits appear within their records once their data syncs across from GMC Connect. You can either save, discard or cancel the suggested changes.
