You can manage Appraiser allocations in various ways depending on how involved your Organisation is with the process and we have created separate sections based on the below:
- Our Appraisal team do not manage Appraiser Allocations
- Our Appraisal Team manage Appraiser Allocations but the Appraisee will allocate Appraisers in their own account:
- Our Appraisal Team manage Appraiser Allocations and wish to set the Appraiser on the Appraisee's FourteenFish account:
1. Our Appraisal team do not manage Appraiser Allocations:
If your Organisation does not allocate Appraisers then you can simply allow the Appraisee to invite their Appraiser to link to their FourteenFish account.
Once the Appraiser and Appraisee are linked, you will see their details appear in the 'Appraisals' area of their Appraisee record as shown, as this feeds directly from their FourteenFish account:
2. Our Appraisal Team manage Appraiser Allocations but the Appraisee will allocate Appraisers in their own account:
If you wish to send notifications to either the Appraisee and/or the Appraiser to advise them of allocations, you will need to ensure you have set up your Appraiser list (see our help article here).
The Appraiser will then be allocated to an Appraisee's Case for that appraisal year so make sure your Appraisees all have a Case for the current appraisal year - see our help article here.
- How to allocate the Appraiser to the Case:
Go into the Appraisee's Record and scroll down to the 'Appraisals' section and click the Case as shown:
If you scroll down once you are in the Case page you will arrive at the section called Allocate to an appraiser. In this list you will be shown any Appraisers who have previously appraised this Appraisee as circled below.
To allocate the Appraiser simply select the bullet point of the Appraiser you want to choose for this Appraisee:
Then scroll down to the bottom of the list and hit Set Appraiser:
If you go back to the Appraisee page of that person you will now see that Appraiser is allocated to the Case:
NB: this will not set the Appraisee's Appraiser on their FourteenFish account
- How to send Allocation Notification Emails from FFARMS
Once you have assigned the Appraiser to the Case, you can send a notification to either the Appraisee, Appraiser or both.

- How the Appraisee sets their Appraiser on FourteenFish
Once you have notified your Appraisee of who their Appraiser is they will need to set their Appraiser on their FourteenFish account.
This will be done either by them selecting from a dropdown list of your Appraisers or by them adding the Appraiser's email address but this depends on what your Organisation settings are so chat with us if you are unsure.
If your Organisation has visibility of the 'FourteenFish appraisals' area of an Appraisee's record, you will be able to see on FFARMS under the FourteenFish appraisals section when an Appraisee has done this as the Appraiser's name will appear under the Appraiser heading as shown:
3. Our Appraisal Team manage Appraiser Allocations and wish to set the Appraiser on the Appraisee's FourteenFish account:
If you are wish to allocate Appraisers so that they populate in the Appraisee's FourteenFish account, first of all follow the steps in the Section 2.
You will just need to ensure the Appraiser has a linked FourteenFish account and you can check this via the Appraiser uses FourteenFish field (as shown below) where you will need it to say 'Yes':
If not, you will need to ensure the Appraiser has set up their account and the email address on their Appraisee/Appraiser record matches their registered email address.
- No appraisal created
If the Appraisee has not created an appraisal on FourteenFish yet, you will see in the Appraiser uses FourteenFish field it will state '*user* hasn't got an appraisal for *appraisal year* on FourteenFish' as shown:
We recommend that the Appraisee creates the appraisal for themselves in FourteenFish to avoid duplications so we would recommend refraining from clicking on Add an appraisal on FourteenFish for them (as above)
- Appraisal created but Appraiser already set, which is different to your allocation
If an Appraisee has already created an appraisal and set their Appraiser, which does not match the one you have assigned to the Case, you will see in the Appraiser uses FourteenFish field it will state 'Yes Matched to a different appraisal on FourteenFish appraisal for this appraisal year' as shown:
You can change this for them by clicking on Change appraiser on FourteenFish to this one (as above) then you'll see the following screen, which will give you the option to tick whether you would like to inform the Appraisee and then you can click on Change the appraiser on FourteenFish:
NB: Please be aware that if the Appraisee has already sent the appraisal document to their existing Appraiser via their account, you will need to contact the Support Team to change the Appraiser.
We will need the existing Appraiser to save down any notes they have made on the appraisal and we will then need to retract the document before you can change the Appraiser on FFARMS.
- Appraisal created but no Appraiser set
This is the status you are looking for in order to set the Appraisee's Appraiser on their FourteenFish account.
You will see in the Appraiser uses FourteenFish field it will not show an Appraiser's name and you will be given the option to click on Match appraiser on FourteenFish as shown:
Once you do this, the Appraiser will be set on the Appraisee's current appraisal and both the Appraisee and Appraiser will be sent email notifications (these are set email templates and cannot be edited):

The Appraiser uses FourteenFish field will now state 'Yes (and matched for the FourteenFish appraisal for *appraisal year* on FourteenFish' as shown:
