Every Appraisee on FFARMS will require a Case for each appraisal year whether they are completing an appraisal or not.
There are different ways you can manage how Cases are created and it will largely depend on:
- Whether you want the Cases to be assigned in bulk or individually
- If your Organisation allocates Appraisees to their Appraiser or not
- How often your Organisation wants to run allocations of Cases
Allocating Cases in Bulk:
The easiest thing to do once you start using FFARMS for the first time is to allocate everyone a Case in bulk for that appraisal year.
Make sure that your Working appraisal year in the top right of your screen is set to the year you are working on. Then if you go to the Cases section, clear all your filters and select the No allocations (but should have) filter as below:
You should see all of your Appraisees appear as they won't have a Case assigned to them yet. You can then Create Cases for all:
Allocating Cases on Individual Appraisee Records:
If you would prefer to allocate Cases on an individual basis after completing the initial bulk allocations you can do this by going to the Appraisees section and find the person's record using the Search box. Once you have found them click View to go into their person record:
Make sure that the correct Working appraisal year is set and you should see the option on the very top of their page to Allocate for:
NB. This is quite a useful way to allocate Cases if you are a fairly small Organisation and you assign Appraisers to Appraisees.
My Organisation allows Appraisees to choose their own Appraisers:
If your Appraisees choose their own Appraiser then all that you need to do when you first join FFARMS is to follow the steps above for Allocating Cases in Bulk.
Your Appraisees will use their FourteenFish account to link to their Appraiser. Depending on your Organisation this will either be by:
- Inviting them using their Appraiser's email address OR
- Choosing their Appraiser from a pre-selected dropdown list which includes all Appraisers listed on FFARMS
Once the Appraisee has linked to their Appraiser in FourteenFish this information automatically populates into their Case on FFARMS.
My Organisation allocates Appraisers to the Appraisees:
If your Organisation allocates Appraisers to Appraisees you will still need to create Cases for all of your Appraisees by following the steps above under Allocating Cases in Bulk.

How often do Case Allocations need to be made?
If your Organisation does not allocate Appraisers to your Appraisees once you complete the first round of Case Allocations you will no longer need to worry about creating them Cases for subsequent appraisal years. This will be done automatically using the information they enter in their FourteenFish account.
If your Organisation does allocate Appraisers to your Appraisees the frequency you complete allocations is up to you. You can either complete them at the start of each appraisal year or you can manually create new Cases as/when Appraisees complete their appraisal.
