Appraisals not being visible within a Case on an Appraisee's Record in FFARMS could be due to one of the following reasons:
- The appraisal may not have been signed off completely
Sometimes Appraisees complete their first sign off, which sends it to their Appraiser and then they do not realise they have to complete the final sign off afterwards.
If your Organisation has visibility of the 'FourteenFish appraisals' area on Appraisee Records, you can check the status. If it is anything other than 'Completed' then either the Appraisee or Appraiser has not done their part and the status field will indicate who needs to complete it.
Should you not have visibility of the 'FourteenFish appraisals' area on FFARMS, you can raise a Ticket with Support letting us know the Appraisee's name, GMC number and the appraisal date, and we can check the appraisal for you.
- Incorrect or No Designated Body set
Sometimes the Appraisee may have selected the wrong Designated Body, or has not set one at all, which will prevent the appraisal document from reaching FFARMS.
Please raise a Ticket with Support letting us know the Appraisee's name, GMC number and the appraisal date, and we can check the appraisal for you.
If the Designated Body is not listed, or is incorrect, we can correct this for the appraisee without needing to re-open the appraisal. Once the Designated Body is amended, we will send the appraisal through to FFARMS.
- The Appraisee has an early or late appraisal
When an Appraisee sets their appraisal meeting date, the system will automatically assign the Appraisal year based on this.
There can only be one Case per appraisal year on an Appraisee's record and only one appraisal document assigned to it.
If the Appraisee has either an early or late appraisal one year, this might mean the meeting date they set on their appraisal is linked to an appraisal year where an appraisal document has already been sent to the Case for that appraisal year on FFARMS.
This will prevent the duplicate appraisal document for that appraisal year being sent through to FFARMS,
It is quite common occurrence for Appraisees who have their appraisals in March/April, which is close to the change over in Appraisal Years.
In these instances, please raise a Ticket with Support letting us know the Appraisee's name, GMC number, the last two appraisal meetings and which appraisal year each meeting date should reside in.
We can then make the necessary changes to the Appraisee's document on their FourteenFish account, and the Appraisal Case on FFARMS, if required. This can be corrected by us for the appraisee without needing to re-open the appraisal
