Why do we have to complete a Self Assessment of the survey?
This is so you can compare how you think you score in the areas concerned to what your colleagues then score you. It is a criteria laid down by the GMC.
I am trying to complete a colleague response but it says it has already been completed?
If you are sure that this is not yourself who has done this then it may be that another colleague has done this by mistake. If you contact the colleague who the survey is about they can add you again onto their survey.
Why does it wait a week?
This is to give any remaining colleagues a chance to complete the survey.
I have put in 15 but I still can't send the invitations out?
You need to submit details of at least 15 colleagues AND complete your self assessment before the software will let you send out the survey invitations.
Can I see who has responded?
If you log into to your FourteenFish account and revisit the survey summary page you will see how many of your colleagues have responded but not which ones.
But I want to remind colleagues that haven't responded?
The software does that automatically if colleagues haven't responded 10 days after the survey first went out.
What happens once you have received 15 replies and waited a week?
The survey can then be closed if you wish. This is also the case once over 16 colleagues have replied.
What does 'your survey can now be closed' mean?
This means that you have had enough recipients to be able to complete the survey. You don't have to close it and you can wait longer for more responses.
Once the survey is closed if any of your colleagues try and complete the survey they will be notified that it is has been completed. The survey responses are then summarised and a member of the Wessex LMC staff will check the summary for information that is obviously identifiable and felt inappropriate.
If you are a hospital doctor then Wessex LMCs checks the summary as for Medical Educators, Occupational Health doctors, Nurses & Practice managers. For surveys done by other members of staff the Medical Director at FourteenFish checks the survey summary with the same criteria as above.
What do you do if you see obviously identifiable data that is felt to be inappropriate?
Wessex LMCs will judge if it should be removed and edit it if they feel this is appropriate. They will be in touch before you receive your summary should they identify anything.
I am completing the survey for a colleague. Will they see that it is me that has written these comments?
They will not see any names in the completed summary report. As above, anything obviously identifiable may be removed though of course we cannot guarantee this.
For GP members of Wessex LMCs if Wessex LMCs judge that they would prefer to feedback the comments individually then they will take reasonable steps to attempt this.
How much does the Colleague Survey cost?
Do you have a refund policy?
Refunds are available at any time before you are sent the notification that the survey summary is ready. If you would like a refund please contact support and we will arrange for a refund. Please be aware that if invitations have gone out some of your colleagues may have already completed the survey (you can still get a refund but their replies will not be shared with you).
I am a Medical Educator no longer in Clinical Practice.

How many colleagues do you need to complete the survey?
The more the better and the quicker your survey will be completed. We suggest you try to submit details of at least 15 colleagues and ideally 20.
You will need 15 responses to satisfy requirements of most areas of NHS England and Designated Bodies. If you are not sure of the expectations for your Designated Body or if you have trouble collecting 15 responses, we recommend you check with your Appraiser or your local Appraisal Service, and get back to us as in certain circumstances we can close the survey with less responses with the approval of these authorities.
After 15 responses have been received the system waits 7 days then emails you to let you know that your colleague survey is now closeable.
Is the Colleague Survey fit for revalidation?
Yes, the survey has been developed by Wessex LMCs and shared with the Wessex Appraisal team and the GMC. Wessex LMCs have followed the guidance laid down by the GMC. The survey has been piloted prior to release.
Who are Wessex LMCs?
Wessex Local Medical Committees are the statutory body that represents GPs and practices throughout Dorset, Hampshire, the Isle of Wight, Wiltshire, Jersey or Guernsey. For more information visit the Wessex LMCs website.
Is it always Wessex LMCs checking the summaries?
Some other LMCs have also agreed to check the summaries. So if you are a GP in one of these LMCs and you do a colleague survey then your LMC will check it. Currently this is Somerset, Gloucester & Surrey Sussex LMCs.
How is our data held?
It is held securely and in accordance with the Data Protection Act 1998.
Can we use this questionnaire elsewhere?
Not without the express permission of Wessex LMCs who have developed the questionnaire and hold the copyright.
