If you have not already, please first watch the Introduction to the Royal College of Ophthalmologists Trainee Portfolio video.
You can indicate which learning outcomes you have already completed in the curriculum and then add the required evidence. This will enable your progress so far to be displayed. You will need to add one log for Levels 1 and 2, and then a separate entry for Levels 3 and 4 (if appropriate).
To add your previously completed training:
- From the portfolio overview screen, in the Learning logs section click Curriculum Catch-up, then New Curriculum Catch-up entry. You will be taken to this entry page...
- Add a suitable title for your Catch-up entry for example, [Insert Name] Progress as at August 2025.
- Tick the box to agree the statement- ‘I confirm that all the curriculum items I tag have already been completed’.
- Please attach your completed and signed off Curriculum Transition Checklists (CTC) and Intended Level form at this point before moving onto the next step.
- Click Save.
How to tag an entry
When you have followed the steps above the Entry tagging screen is displayed.
In the first pane you will see the Title and Type of entry, the ‘Tagging to’ section is automatically populated with ‘New Curriculum Level 1 & 2’. Please try to complete Level 1 & 2 first then create a new entry for Levels 3 & 4.
Should you need to change this entry for any reason, please follow the instructions below, otherwise skip this section:
- Click the pencil icon:
- You will then see the Portfolio email preferences screen where you can choose which Level to tag your entry to.
- Click Save when you have selected the correct Levels.
- Click Manage tags for Entry to return to the ‘Entry tagging’ page.
You can now tag your entries from the Entry tagging screen...
Entry tagging:
You will have been asked by the RCOphth to complete a Curriculum Transition Checklists (CTC) and Intended Level form. This is your agreed record of where competencies have been achieved against the NEW curriculum. Please follow the process detailed below to replicate the learning outcomes you have achieved as recorded on your CTC. Please ensure you also attach your completed and signed off CTC and Intended Level form document to this entry as evidence.
Please ensure you attach your signed Intended level Form, Curriculum Transition Checklists and exam result letters/emails to document your Level at the point of transfer.
In the left hand pane the curriculum domains are listed - you can click on the relevant domain and the learning outcomes are displayed on the right hand pane.
- Click on the learning outcomes to select them, they will turn blue when clicked- this tags the unit.
- Tag all of the learning outcomes you have completed in each domain.
- When you have tagged all your completed learning outcomes click Save selection.
On the next screen a green banner at the top of the page will confirm that the learning outcomes have been linked to the entry:
Note that until you request a review of this entry, only you can view it or see the updates on the Portfolio overview page progress wheels.
Request Supervisor Review:
Your supervisor should now review your evidence. You should select your supervisor from the drop-down list in the ‘This entry is still private to you’ box and click Request a review.
If you scroll down the page you can see all the training you have linked. You can make changes to the tags if needed by clicking Manage what is tagged to this entry at the top of the list.
NB: The review is not to re-approve your forms, rather to allow your supervisor to confirm that the information you have entered on FourteenFish is accurate.
Click Portfolio on the menu at the top of the screen to return to your portfolio overview screen.
In the Portfolio Summary section you will see that the percentages on your progress wheels have now increased as your completed training has been added.
You can now add your Level 3 and 4 domains. Follow the process, as above, to add a new curriculum catch-up entry, and remember to change the Level you are tagging to Level 3 & 4.
